4. Collection, processsing and use of personal data

In some cases, we use external service providers to process your data. These have been carefully selected and commissioned by us, they are bound by our instructions and are regularly checked.

  • if you use the website for information only

It is generally possible to visit our website without providing any personal information. However, you leave behind your IP address and other data that your server transmits automatically, such as:

  • Date and time of access
  • Name and URL of the retrieved file
  • Amount of data transferred
  • Message whether the retrieval was successful
  • Identification data of the browser and operating system used

We use this data to establish a connection, to ensure system security, for technical administration of the network infrastructure and to optimize the internet offer. The data is automatically deleted after seven days. The IP address is only evaluated in the event of attacks on the network infrastructure.

  • if you use our contact form

If you contact us by e-mail or via the contact form, we only use the personal data you provide to process your specific request. Your data will then be deleted unless longer storage is required or permitted by law. Please do not send us any sensitive data (e.g. health data) using the contact form; use other means of communication for this.

  • if you use our offer of online advice

The online counseling service of the Studierendenwerk Koblenz is a free service that can be used largely anonymously. However, even with this use, your IP address will be transmitted and stored for at least 12 hours. For the technical processing of the offer, we use the secure process of our service provider beranet. You can use the public procedure directory of the technical service provider zone35 GmbH & Co. KG, Berlin, to find out more about data protection when using beranet:

http://www.beranet.de/fileadmin/user_upload/oeffentliches_verfahrensverzeichnis_beranet.pdf

When registering, you will be asked to provide your own user name and password to ensure anonymity in order to access the encrypted consultation area. You are responsible for protecting these access data from unauthorized access. Providing an email address is voluntary. If you enter your e-mail address, you will be informed by an automatically generated e-mail when the advice portal has received an answer for you. In order to be able to read the content of the answer, however, it is necessary for you to log in to the advice platform. It is ensured that the consultants do not have access to the e-mail information. Your request will be answered by the advisors of the Studierendenwerk, who only know your user name and anonymous information about yourself as well as the content of your request.

Our consultants are bound to secrecy. However, in the event of a clearly stated intention to commit suicide or a credible announcement of a crime, we are obliged to call the police. All of the information you provide must then be forwarded to the responsible investigative authorities.

The correspondence is encrypted on the database of a secure server and is therefore protected from unauthorized access by third parties. All information in connection with a consultation will be deleted after ten years. Further information on using the offer can be found in the terms of use for online advice:

https://studierendenwerk-koblenz.beranet.info/meine-daten/service/account/register.html
